Bookers use member management to invite people to a band, assign roles, and decide who can participate in gigs.

Invite a new member
To invite someone to your band, enter:
- Their email address
- Their role
You can also add a personal message. This message is included in the invitation email.
After you send the invitation, the person receives an email with a link to join the band.
What the invited person receives
The invited person receives an email saying that they have been invited to the band.
Depending on the situation, this invitation may be a general band invitation or connected to a specific gig offer.
If they already have a Gixtra account, they can sign in and the band is added to their account.
If they do not have a Gixtra account yet, they create one with their email address and password. Joining as an invited band member is free for them if the band account is already paid.
Invite someone without adding them to a gig
You can invite someone to the band without assigning them to a gig.
This is useful when you want to build your band member list first, before planning specific gigs.
Invite someone while creating or editing a gig
You can also invite someone directly while creating or editing a gig.
This is useful when you are planning a gig and notice that the person you need is not in the band yet.
You can enter their email address in the participant field and invite them from there. They are then added to the band and to the gig.
Existing Gixtra accounts
If the invited email address already belongs to a Gixtra account, the person still receives an invitation email.
They do not need to create a second account. The band is added to their existing account.
Different email address
If someone wants to use a different email address than the one they were invited with, they should first accept the invitation with the invited email address.
After joining, they can change their email address in their profile.
Invitation status
Gixtra shows invitation status in the band member list.
If someone has not responded yet, you can resend the invitation.
Resend an invitation
If someone did not receive the invitation or forgot to respond, use the resend invitation button.
This sends them another email reminder.
Cancel an invitation
Invitations do not expire automatically.
To cancel an invitation, remove the invited person from the band.
Remove a member from the band
A booker can remove a member from the band.
Members cannot currently leave a band themselves. A booker or administrator must remove them.
If a member is removed from the band, existing gigs remain. Removing a member does not erase the gig history.
Change someone's role
Bookers and administrators can change someone's role.
This is useful when someone becomes a booker, accountant, sub, technician, or regular band member.
Because roles affect visibility and permissions, change roles carefully.
Instruments and functions
Members can edit their own profile details, including the instruments or functions they have in a band.
A member can have multiple functions. For example, someone may be:
- Guitar
- Vocals
- Keys
- Sound engineer
- Percussion
Bookers can use these functions when adding people to a gig. For example, typing drums helps find all drummers in the band.
Functions are fixed in Gixtra and cannot currently be customized per band.
A member can have different functions in different bands.
Common questions
Can one person be in several bands?
Yes. One Gixtra account can belong to multiple bands.
Can one band have multiple bookers?
Yes, depending on your plan. Lower plans may only include one booker. Higher plans may allow more bookers.
Can I invite someone just for one gig?
Yes. You can invite someone while creating or editing a gig and add them to that gig.
If you do not want them to see the full band calendar, use the sub role if it is available in your plan.
Can members edit their own profile?
Yes. Members can edit their own profile details, such as name, email address, profile picture, and instruments/functions.
Can members remove themselves from a band?
No. A booker or administrator must remove them.
