Connect your private calendar to Gixtra

Let Gixtra use busy and available information from an external calendar to warn bookers.

Besides sending Gixtra gigs to your calendar, Gixtra can also use availability information from your private or external calendar.

This can be a Google Calendar, an Outlook calendar, or any other calendar that provides an iCal URL.

What is this feature for?

This feature helps bookers see whether you may be unavailable on a certain date.

Example:

You have your vacation dates in Google Calendar. If you connect that calendar to Gixtra and a booker tries to add you to a gig during your vacation, Gixtra can show a warning.

The booker then sees that you may not be available on that date.

What happens if a booker invites you anyway?

The calendar check does not block the invitation.

If Gixtra sees that you are marked as busy, the booker only gets a warning or hint.

The booker can still invite you to the gig.

This is intentional. Sometimes a calendar entry is not final. Sometimes a private appointment can be moved. And sometimes the booker still wants to ask.

Gixtra does not make the decision for you. It just gives better information at the right moment.

Which calendars can you connect?

You can connect calendars that provide an iCal URL.

For example:

  • Google Calendar
  • Outlook Calendar
  • another calendar with an iCal link

The exact place where you find the iCal link depends on your calendar app or provider.

What does Gixtra read from your calendar?

Gixtra does not care about the content of your appointments.

Gixtra only checks whether you are marked as busy or available at a certain time.

This means:

  • Gixtra does not read whether an appointment is a vacation, family event, another job, or something private.
  • Gixtra does not show private appointment details to bookers.
  • Gixtra only uses the information that you are marked as busy.

This protects your privacy.

Why is this useful?

Bookers often need to quickly understand who might be available for a gig.

If Gixtra can warn the booker while they are adding participants, it avoids unnecessary back-and-forth and reduces misunderstandings.

For you, it means less manual explaining. If you are on vacation or busy, Gixtra can already give the booker a useful hint.

Important: Gixtra does not decide for you

A calendar entry does not automatically mean you cannot play a gig.

Gixtra only shows a warning. The final decision stays with the booker and the musician.
